Juneau Strings Ensembles
Board Meeting
January 12, 2007
6:00-7:45

Members present: Cathy Botehlo; Ed Sinclair; Theresa Miller; Rachel Sanders; Roxy Felkl; Jenifer Shapland

Minutes from the September 15, 2006 board meeting were reviewed and approved.
(Motion to approve by Theresa Miller and seconded by Ed Sinclair.)

ARTISTIC DIRECTOR REPORT:

Guohua Xia presented the following information for the Spring, 2007 semester:
CONCERTS:
1. Ursa Minor will play at a Charter School concert on Tuesday, January 16.
2. JSE Fundraising Concert will be held Saturday, February 24.
Guohua presented the proposed order for the concert. This consisted of performances by Ursa Minor, two quartet groups from the original Ursa Major group; combined group performance of students in Suzuki Book 1 and 2; AK Youth Choir; and Aurora Strings. (Please see further information on this concert later in the minutes.)
3. Suzanne Gaye, a Suzuki teacher from the Oregon Suzuki Institute will be here March 3 and 4 for students who are studying in Books 1 and 2. Specific times/details will be announced later.
4. Mary Watson is organizing a Juneau Symphony performance on Friday, March 9. The two Ursa Major quartets will perform at this event.
5. Alaska Folk Festival April 9-15. JSE will apply for two time slots but there is no guarantee that we will get two slots. More information will be presented later. Ed Sinclair will complete the applications for both groups.
6. Sometime during May, the students traveling to China will present a concert. The date and location will be announced.
7. Ursa Minor will join Juneau Jazz and Classics. This is usually the last week of May.
8. Late July, hopefully July 20, students from JSE will perform at Marine Park.

GENERAL BOARD DISCUSSION:

Schedule for Spring, 2007:
No rehearsal on February 25 (but dress rehearsal on 2/23 and concert 2/24)
No rehearsal on March 4 because of Suzuki workshop.
No rehearsal March 25 because of spring break. However, students will rehearse April 1-the last day of break.
In total, there are 18 rehearsals for the spring semester.

Students not traveling to China, who are in Aurora Strings, will not need to come to the rehearsals after the Folk Festival performance. There will be a decrease in the tuition for those students. Guohua wants the traveling students to become accustomed to their “own” sound and to practice the new music from China.

Saturday, February 24, JSE Fundraising Concert--- 7:00 at Northern Light United Church
Planning Details:
1. Cathy Botelho will type up the job volunteers from the fall parent meeting.
2. Rachel Sanders will call/e-mail the various parents to organize the volunteers for this concert.
3. The board discussed that the first posters should be up by February 4 and the remaining posters should go up by February 11.
4. Guohua noted that there will be a dress rehearsal on Friday, Feb. 23. He did not announce the time at the meeting.

China Trip
A parent meeting for the traveling ten students and parents was scheduled for Sunday, January 14 7:00. Beijing Youth Symphony will mail additional musical selections later this spring. Guohua has been communicating with the China travel agency and he would like to share this information. All travelers should have their passport by now. Guohua will be discussing the itinerary, payments and general details of the trip. Payment should be made before March 1. The board decided that it was best for Guohua to collect the money for the trip and send it as a group to the travel agency. The board decided that all passports should be given to Guohua by April 14 so that he can apply for Visas.

JSE shirts
Karen Goodell will have shirts for the students to try on during the January 14 rehearsal. Boys will need a black shirt, black pants and black shoes. Girls may order a colored shirt of their preference. Girls may wear a black skirt or pants. Traveling students need to order two shirts. This is not paid from the JSE funds.

Rehearsal Time Switch for Ursa Minor and Aurora Strings
Jenifer Shapland will send out an e-mail to all parents to collect votes for this proposal. Votes are due by Tuesday, Jan. 16. Traditionally, Aurora Strings and Ursa Major have switched practice times for the new semester. She will send out the results of this vote.

Minutes from the Sept.1 Board Meeting and the Sept. 10 Parent Meeting were reviewed and approved.

A. Theresa Miller made the motion:
Ed Sinclair will take over the position of vice president from Cathy Botehlo. However, Cathy will remain an acting board member coordinating the travel/passports etc. for the trip to China.
Seconded by Rachel Sanders.
Discussion:
Jenifer will remove Cathy’s name from signing checks and add Ed’s name on the list at the bank.
Vote:
Approved

B. Theresa Miller made the motion:
Given how busy everyone is right now, we would like to focus our efforts on sending out a solicitation letter to businesses instead of having the Chinese Fundraising dinner this fall. Therefore, we will postpone the consideration of the dinner until after we receive the results of the solicitation letter.
Seconded by Cathy Bothelo
Discussion:
Jenifer will merge the three lists of businesses that we have (the one Cathy created from the Grumpscicle and symphony programs; JSE list from last Fall 2005 and the list of businesses from Alaska Youth Choir). Jenifer will send the merged list to each on of us so that we can make additions or add contact names with individual businesses.
Vote: Approved

General discussion:
--We made the decision to send the minutes of the board meeting to Daniel P. so that he can place them on the JSE website. The minutes will not be sent to individual parents.
--Rachel updated the JSE calendar
--A thank you card should be sent to AYC for the business list
--Note the new date for the Governor’s Open House: Dec. 12
--Cathy will research the best weekend to hold the Chamber Music Night at Northern Light Church (given other community conflicts)
--Theresa will check on the availability of funds for another Litter Free pick-up
